The How-To Guide for Offers Day

Offer's Day can be a somewhat complicated process if you haven't done it before. We've compiled a step-by-step guide to loading up offers, so the day goes smoothly and you get that first pick! Remember, this all needs to be completed by the 7th October.

Here's what you need to do!

 

1. Click on OFFERS (you may have noticed that this was previously greyed-out):

 

You will be taken to a page with a heading that looks like this (with your role name instead of 'Product tester - 2019'):

 

2. Click on the 'Prepare offers and backup offers for this job' link.

The students from your ‘To Offer’ column (on the far right of the PROSPECTS page) will appear, in the order you have ranked them. Here's what you'd see if you had three students in the To Offer column:

 

3. Click on your first ranked student and fill out the form fields - the pay rate, name of the student's soon-to-be manager, a short welcome message, and an agreement that, once it's sent, the offer is binding.
4. Click on the 'Prepare Offer to Taylor' button. Your draft offer is now complete and an email will be sent to Taylor at 10am on Wednesday the 7th of October.

 

5. Repeat steps 2 - 4, for each of your backups.

THIS IS REALLY IMPORTANT - Ideally want to load up 3 or 4 backups, because chances are high that your favourite student is someone else's too. Here's how it works: Taylor has six business hours to accept your offer. If she rejects your offer (?), or doesn't respond within six hours, then an offer is sent to the next person on the To Offer list who has an offer loaded, and they too have six business hours to respond. This process repeats until you have no one left in your To Offer column with offers loaded, or until a student accepts the job. 

FREQUENTLY-ASKED QUESTIONS

How long do I have to make offers? When do they 'close'?

On 9am Wednesday the 7th of October they will close, ready to be sent to students at 10am. (If you have a new job you are listing after October 7, then your process is a little different and you can offer at any time.) 

There are too many great people to choose from, can I increase the number of positions or is it too late?

Yes way, José - it's super simple, just "edit the job” and increase the number of positions. 

I have five positions for the same role, how does that work?

You will have five positions to fill on your offers page and your top five picks all receive an offer right off the bat at 10am. Your backups (i.e. students you've listed in positions 6 onwards) will be treated as one long list, so make sure you rank students in order of preference in the To Offer column. And have heaps of back-ups. 

Oops, I changed my mind, can I un-offer?

Yes, you can withdraw an offer up until 9am on the 7th, but once it has been sent to the student, it cannot be un-sent. (You can edit offers too, just in-case you spot a spelling misteak). 

Can I change the order of the offers? Say, if I changed my mind and wanted one of my backup students to be my first ranked?

Yes, you can. The order of students is based on the To Offer column, so you just need to drag and drop the cards so that the order is what you'd like. You can do this at any time up until the offers are sent. 

Does a backup student know that they are on the offers list?

Yes and no. Any column on the prospects page that has 'Visible to Students' at the top means that students in that column will get a message saying that they are being considered for the role. However, they won't know you have loaded a draft offer, unless the candidates ahead of them decline. 

How long do I have before I have to send the student a formal employment agreement?

Within one week you'll need to prepare a fixed-term employment contract. Let us know if you need any guidance. 

When do students start work?

That's up to you and them, but many will have exams until mid-November. 

Can I make the offer subject to reference checks?

No, you should be doing reference checking before making an offer. 

So we are all done on Offers Day?

90% of offers will be accepted by the end of Offers Day. We will work closely with you if, for some reason, you missed out on a student. (Or if you want to list a role after the 7th of October - last year we were placing students well into December!) 

Do I have to get back to students I've decided not to hire?

No, you don't have to. But if you’ve interviewed a candidate and decided not to proceed with them, it would be great if you can send a quick email with some feedback about why you’re not taking them any further. For students who have put time, energy and effort into preparing for an interview, or responding to a technical test, they always appreciate some follow-up and feedback, so they can come back stronger next year, and in their next job application or job interview out there in the real world.
